(Online Account)

Don't Panic If You Receive an IRS Letter! Pros and Cons of Five Response Methods at a Glance
Receiving a letter with the IRS logo on the envelope is enough to make many people's hearts race and leave them unsure what to do. In reality, the IRS sends out many different types of letters each year, and they're not always bad news about "owing more tax" — sometimes they simply ask you to confirm information or provide additional documents. What really matters is this: which method you choose to respond with directly affects how fast it's processed, how accurate the outcome is, and even whether you have evidence on hand if a dispute arises later. Here's a breakdown of the pros and cons of several common ways to respond.
Option 1: Respond by phone
▸ Pros: fast — you can ask questions and clarify exactly what documents the IRS needs on the spot, which works well for simple questions or confirmations
▸ Cons: hold times often run 1–2 hours or more; there's no written record of what was discussed, so if the representative misunderstands something or a dispute arises later, it's hard to prove what was actually said; you may speak with a different representative each time, and the answers aren't always consistent
Option 2: Respond by fax
▸ Pros: many IRS letters include a dedicated fax number, which works well when you need to submit documents and want faster delivery than mail; a successful fax transmission generates a confirmation sheet, which can serve as preliminary proof of delivery
▸ Cons: the confirmation sheet only proves the fax was successfully sent — it can't guarantee the IRS actually received it or filed it under the correct case; poor document quality (scanning, handwriting) can make it hard to read, which may lead the IRS to consider the submission incomplete; many homes and offices no longer have a fax machine, making this option less convenient
Option 3: Respond by mail
▸ Pros: creates a written record — it's recommended to always send by certified mail with return receipt to keep proof of delivery; content can be organized in advance, reducing the risk of misspeaking on the spot
▸ Cons: processing takes a long time — the IRS currently often needs 6–12 weeks or more to process mail; if documents aren't complete, back-and-forth requests for more information can drag things out further.
Option 4: IRS Online Account
▸ Pros: some notices can be confirmed, or documents uploaded, or processing status checked directly online, with speed somewhere between phone and mail; the system keeps a record of your activity, giving it more evidentiary value than a phone call
▸ Cons: not all letter types support online handling — complex cases (such as audits or amount disputes) usually still require written correspondence or professional representation; setting up the account itself requires identity verification, which can be a barrier for those unfamiliar with the system
Option 5: Have a CPA or tax representative respond on your behalf
▸ Pros: professionals are familiar with IRS terminology and procedures, and can accurately determine which documents to submit and how to present your position, reducing the risk of an improper response escalating the dispute; for cases involving larger amounts or multiple tax years, professional help can save a significant amount of back-and-forth communication; all correspondence is organized and retained by the professional, giving you the most complete record of evidence
USCPA Luo Xia reminds you: no matter which method you choose to respond with, be sure to respond within the deadline and keep all correspondence records (including fax confirmation sheets, certified mail receipts, screenshots of online activity, etc.). If you don't understand the letter, or it involves a large amount or multiple tax years, it's strongly recommended to consult a licensed, professional CPA before responding, to avoid inconsistent statements or missing documents turning what was originally a simple matter into a more complicated dispute!
